Staff open the booking calendar to see which rooms and shared spaces are free at the time they need.

They request the space for a specific date and time slot directly from the calendar.

An approver reviews it

A designated approver checks the request against existing bookings and either confirms or declines it.

The booking locks in

Once approved, the reservation appears on the space calendar, visible to everyone who checks that room going forward.

Common Questions

Does BeeNet have a school-wide event calendar with RSVP for parents?

Not yet. Today's calendar module covers personal scheduling and space/room booking with approvals — a shared, org-wide event calendar with parent RSVP is planned but not currently available. If event announcements with responses are your priority, our Channels & Messaging and Notifications modules are the current way to reach parents.

Can I book a classroom, gym, or meeting room for a specific time?

Yes. The space-booking calendar lets staff request a specific room or shared space for a date and time, and an approver confirms or declines the request before it's locked in.

Can teachers or instructors create bookings from the mobile app?

Mobile currently supports viewing calendars and event details, but instructors cannot create events or bookings from the mobile app yet — booking requests are made through the admin portal.

Does the calendar sync with Google Calendar or iCal?

Not currently. There is no external calendar sync in this release, so BeeNet's calendars are the source of truth and won't automatically mirror into a personal Google or Apple calendar.

Can I set up a recurring weekly booking, like a standing gym reservation?

Not yet — recurring event and booking management isn't available. Each booking currently needs to be requested individually.

Who decides who can approve a room booking?

Approval rights are tied to your organization's role structure. You choose which roles can submit booking requests and which roles review and approve them.
