1 Live schedule, shared by admin and parent app

One Timetable, Not a Separately-Updated Parent Calendar

BeeNet's schedule module is the org-wide view over every classroom's sessions and exam dates. An admin schedules a session or an exam once; the mobile app's parent-facing schedule screen pulls from that same data — there's no separate parent calendar that has to be re-entered or kept in sync by hand.

What Makes This Different

Four specific, checkable mechanisms — not adjectives.

The Calendar Parents See Is Not a Copy

A guardian's mobile schedule screen pulls from the same session and exam data an admin enters — there's no separate parent-facing calendar that has to be re-entered or kept in sync by hand.

Exams Live On the Same Calendar as Sessions

Exam-period scheduling isn't a separate list bolted onto the timetable — exam dates are entries in the same org-wide schedule system as weekly sessions, queryable the same way.

A Parent Sees Their Own Child's Schedule

The mobile schedule screen resolves to the specific child a guardian is linked to — not a general school-wide calendar they'd have to filter themselves.

One View Covers Every Classroom

Admins query sessions, occurrences, and exams across the whole organisation from one schedule view — not classroom-by-classroom navigation to check what's on where.

What the Schedule Module Actually Does

The timetable and exam-calendar view built on top of your classroom scheduling data — not a separate system to maintain.

Org-Wide Weekly Timetable

Query every scheduled session across every classroom from a single schedule view, instead of navigating classroom by classroom to see what's happening.

Exam-Period Calendar, Same System

Exam dates are scheduled and queried alongside regular sessions in the same org-wide calendar — not tracked in a separate spreadsheet or list.

Occurrence-Level Detail

A recurring weekly session and a one-off exam date both resolve to individual occurrences you can look up specifically, not just a repeating template with no visible instances.

A Parent's Own Schedule Screen

The mobile app gives guardians a calendar scoped to their specific child, pulling from the same underlying session and exam data an admin scheduled — not a separate parent-facing calendar that has to be re-entered by hand.

Substitution Visibility on Mobile

When a logged substitution applies to a scheduled session, that's visible on the mobile schedule view — creating or approving the substitution itself happens on the admin side.

How It Works

1

Sessions and exams get scheduled, org-wide

An admin creates weekly sessions and exam-period dates through the classroom module; the schedule view resolves them into one org-wide timetable and calendar.

2

Staff query the calendar, not a classroom list

The schedule view lets you look up what's happening by classroom or date range across the whole organisation — exam dates included.

3

A guardian opens their child's schedule

The parent-facing mobile screen shows that same session and exam data, scoped to their own child, not the whole school.

4

A change is the same data, not a re-entry

Because the mobile view pulls from the same underlying data rather than a separate copy, an edited session time or added exam date is what the parent sees on their schedule — no second, manually-maintained calendar to update.

Why It Matters for a School

1
Schedule, not two

Admin and parent views draw from the same underlying session and exam data — there's no separate parent calendar to re-enter or maintain by hand.

Org-wide
Timetable and exam-calendar queries

Look up sessions and exam dates across every classroom from one schedule view, instead of checking classroom by classroom.

Child-specific
Parent-facing mobile schedule

Guardians see their own child's timetable and exam dates on mobile, not a general school-wide calendar they'd need to filter themselves.

Common Questions

Is the parent app's schedule kept in sync automatically, or does someone update it separately?

It's not a separate copy. The mobile schedule screen pulls from the same session and exam data an admin enters, so there's no second, parent-facing calendar that has to be updated by hand.

Can exam dates be scheduled alongside regular class sessions?

Yes. Exam-period scheduling uses the same org-wide schedule system as weekly sessions — exam dates aren't a separate list or spreadsheet an admin has to maintain on the side.

Can a teacher check their own teaching schedule from their phone?

Not yet. The mobile schedule screen today shows a guardian their child's schedule — an instructor viewing their own teaching timetable from mobile isn't available. Admin staff can see full org-wide session and exam data from the admin portal in the meantime.

Can a substitution be requested from the mobile app?

Not directly. Mobile shows a logged substitution when one applies to a scheduled session, but creating or approving the substitution itself happens through the admin classroom module — see the classroom management page for that workflow.

Does BeeNet warn an admin if a new session double-books a room or instructor?

Not automatically today. Creating a session doesn't run a conflict check against existing bookings for that instructor or space, so it's worth a manual check before saving a session into a slot that might already be busy.

Is this the same as the classroom management module?

They're connected but distinct. Classroom management handles roster capacity, teacher assignment, and substitution creation. This module is the timetable and exam-calendar view built on top of that scheduling data — the weekly grid and exam dates staff and parents actually look at.
