HelloAsso Club Sportif: Add Messaging or Pay SportEasy?
Your club does not have to choose between free and organised: keep HelloAsso for cotisations and add a messaging tool. HelloAsso collects memberships at no fee to the association, so the sensible move is to keep it for dues and pair it with a separate tool for team messaging, unless you would rather pay SportEasy per member to have everything in one place. For a 200-member club, the all-in-one option costs between €792 and €1,080 a year; the HelloAsso side costs the club nothing. The rest of this article shows what each route covers, what it leaves out and how to decide.
HelloAsso club sportif: the two routes at a glance
| HelloAsso + a communication tool | SportEasy (all-in-one) | |
|---|---|---|
| Cost to the club for collecting cotisations | €0 fee, €0 commission, funded by voluntary contributions from payers (HelloAsso) | Subscription per member; €0 on euro payments per one comparison (Portail Foot) |
| Subscription | €0 for HelloAsso, plus whatever the messaging tool costs | Classic: €0.45 per member per month (monthly) or €0.33 (annual, €3.96 a year); Sponsors: €0.48 per member per month, annual only (SportEasy) |
| Communication | Separate tool | Newsletter to all members, discussion groups by role or age category |
| Number of tools | Two | One |
| Illustrative cost, 200 members | €0 plus the messaging tool | €792 a year (Classic annual) or €1,080 (Classic monthly) |
Prices are as published on the vendors’ pages in October 2026. The 200-member figures are 200 × €3.96 = €792 and 200 × €0.45 × 12 = €1,080. SportEasy states a €10 monthly minimum on the monthly plan, which a club of that size does not reach (SportEasy help centre).
Club dues: HelloAsso or SportEasy for cotisations?
Start with the money side, because it is where the two tools differ most.
What HelloAsso does well for a club
HelloAsso describes itself as “0 frais, 0 commission, 100% pour l’association”. Its funding comes from voluntary contributions that payers can add at checkout, and it states that it sells no data and carries no advertising (HelloAsso business model). Its payment page suggests contributions of €3.80, €4.40 or €5.20, left to the payer’s choice (HelloAsso payments).
For a club treasurer, HelloAsso’s own club page lists a single place to hold member information, ticketing for events and partial accounting automation (HelloAsso for clubs). Its payments page describes online membership forms with tiered prices and receipts (HelloAsso payments).
Payment is by card (Visa, Mastercard, CB). The payments page describes an anti-fraud check that generally takes 48 to 72 hours, and payouts either monthly and automatic or on demand.
HelloAsso et messagerie club: what the pages do not settle
HelloAsso’s club page does mention a built-in messaging system and the ability to send newsletters, convocations and reminders from its app. So it would be wrong to say HelloAsso has no messaging. What its pages do not describe is team-level coordination: a group chat per squad, training schedules with RSVP, or attendance. If your coaches need those, test the HelloAsso messaging against your real week before assuming it is enough.
The “free” label also has a precise meaning. The club pays nothing, but HelloAsso’s income depends on payers choosing to contribute, and the amount is left to each payer. That is HelloAsso’s model to sustain, and worth knowing when you rely on it for years.
HelloAsso alternative or partner: which messaging tool to pair with it
For most clubs, the real HelloAsso alternative question is not a replacement for collection but a partner for everything else: what do coaches and parents need on a Tuesday evening? Typically that is a group message per team, a training reminder, a poll on who can travel, and a calendar that people actually open.
Judge any candidate on four points:
| Criterion | What to check |
|---|---|
| Groups | One group per team plus one announcement channel for the whole club |
| Calendar | Training and match dates with RSVP, so coaches see who is coming |
| Cost | The price at your real member count, added to HelloAsso’s €0 |
| Data | Where member data is held, and whether you can delete it on one date |
Three kinds of tool usually end up on the shortlist:
- WhatsApp groups, which most families already have, but which create problems for clubs: see 9 best WhatsApp alternatives for sports clubs and WhatsApp safeguarding for sports clubs.
- Team apps such as Spond, built around squads and events; our Spond alternatives for sports clubs covers its strengths and gaps.
- Club communication platforms such as BeeNet, described below.
A good test message: “Saturday U13 match moved to 15:00, meet at the gym at 14:15. React if you can drive.” If the tool cannot send that to one team in under a minute, it is the wrong partner. For a wider comparison of all-in-one club tools, see our SportEasy alternatives guide.
Where BeeNet fits, and where it does not
BeeNet is one option for the communication half. It offers group and direct messaging, announcements, polls and scheduled messages, a shared calendar with RSVP, team rosters, and message translation, and it can invite members by email, SMS or WhatsApp. See the sports clubs page and the messaging features. BeeNet does not collect membership dues and cannot charge or invoice your members, which is exactly why it pairs with HelloAsso rather than replacing it. Match and game-day management is marked Coming Soon.
Is there a free association software for members and communication?
Not as one product among the tools covered here: the free route is two tools, and the single-tool route is a subscription.
SportEasy bundles team management, a newsletter to all members, discussion groups by role or age category and club fee management in one subscription for unlimited members (SportEasy plans). The annual rate is “sans engagement” and valid on a rolling year, but not refundable (SportEasy help centre).
Its case is simplicity: one login, one member list and one invoice are easier for a volunteer committee to run. For a 200-member club, the €792 to €1,080 a year is the price of that. Against it, HelloAsso’s fee-free collection costs nothing at all, and the same money may buy more elsewhere.
What this comparison cannot tell you
This comparison rests on cost and vendor-stated features; no independent study shows which route produces better attendance or less volunteer time. Your own club’s habits, such as how comfortable your parents are with new apps, may matter more than any price gap.
Data rules apply to both routes
Whichever stack you pick, the CNIL has named sports federations and clubs a priority control theme for 2026, covering the relevance of data collected, how long it is kept and security. It links this to a rise in club registrations after the 2024 Paris Games, with health data and many minors involved (CNIL, controls 2026).
The CNIL’s amateur-sport Q&A, dated August 2022 but still live guidance, sets a maximum of three years’ retention after a membership ends. It allows renewal contact with an opt-out, requires prior consent to promote other activities, and requires a legal representative’s consent for minors (CNIL Q&A). With two tools you hold member data in two places, so set one deletion date for both. Our GDPR guide for French sports clubs goes further.
Verdict and what to do this month
For most clubs, start with HelloAsso for cotisations plus a messaging tool: the collection side costs the club nothing and you keep the budget. Move to an all-in-one only when no volunteer can maintain two lists; at that point SportEasy’s €792 to €1,080 a year for 200 members is a reasonable price for one system.
Do three things before the winter season fills up:
- By the end of October, list the five things coaches need weekly and test them on HelloAsso’s own messaging.
- In the first week of November, run the U13 test message above through one paired messaging tool and compare the result with SportEasy for your real member count.
- Before the January re-registrations, write one retention date for both tools.
Whatever you pick, the requirement is the same: collecting dues and reaching families are two jobs, and each needs an owner. BeeNet is one way to handle the second job; it does not collect dues, so it sits alongside HelloAsso rather than replacing it. If you run a private school in France, you can also look at BeeNet’s free founding-school places in France: 10 places, BeeNet free until 31 August 2027, then a founding price locked for 3 years.
